Volunteer Management Officer, Kuala Lumpur

Responsibilities

Recruitment
  • Research and Identify potential volunteers and organizations for our future recruitment
  • Provide necessary information on the MERCY Malaysia’s volunteers programme including how to apply and register to potential volunteers and provide necessary support for inquiries.
  • Liaise with other departments to obtain information on qualifications and skills required for the volunteers
Engagement
  • Search, provide, communicate and engage registered volunteers with the right skills to commit in activities/ programmes/missions whenever required.
Training and Development
  • Develop a year plan for trainings' for volunteers and make necessary arrangements in cooperation with Training unit.
  • Keep records on training participation of volunteers to advise deployable volunteers
  • Review training modules from time to time and suggest any improvement and to discuss with Head of Department.
  •  Participate in volunteer trainings as organizer, facilitator, and speaker if required.
Operations/Deployment
  • Administer and supervise pre-departure and deployment preparation for volunteers on mission.
  • Identify suitable volunteers in a timely matter for deployment and for other programmes with MERCY Malaysia
  • Involve in developing volunteer programme materials including policies, procedures, handbook etc.)
  • Maintain regular communications with volunteers on activities and programmes on regular basis.
  • Respond to all volunteers’ enquiries/ calls/ emails/ grievances timely
  • Support planning of Volunteer Appreciation Day.
  • Implement the volunteer recognition plan
Administration
  • Responsible for the volunteer database management and tracking of volunteer statistics
  • Ensure timely compilation and record of volunteer hours.
  • Contribute to the development and success of VMD’s overall plan.
  • Undertake any other duties of compatible natures as and when required

Requirements :

  • The candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, any field.
  • At least 2 years of working experience in the related field is required for this position.

Logistics Officer, Kuala Lumpur

Responsibilities

  • Maintain an updated inventory at all times which gives accurate information on stocks held in storage.
  • Carry out regular stock checks to ensure all items/equipment are accounted for as per inventory.
  • Ensure all expired items are removed from the shelves for disposal action, one month before expiry date.
  • Carry out market surveys and quotation exercises promptly for items/equipment approved for purchase.
  • Prepare purchase orders for quotations that have been verified/agreed to by the approving authority.
  • Ensure proper and timely liaison with Finance Department for payments of goods received.
  • Ensure all items selected for issue are packed correctly and delivered timely to the respective destination(s).
  • Be present at warehouse to assist the mobile medical teams with loading and unloading at any time.
  • Ensure all ERU equipment and stocks are stored properly in the designated warehouse(s).
  • Ensure tents and camping equipment are returned to the warehouse after use are cleaned, well dried and properly repacked before being put back in storage.
  • Responsible for managing the warehouse housekeeping to provide a clean and safe environment for warehouse operation.
  • Ensure that all correspondence related to logistics activities are filed properly and kept in a safe location.
  • Whenever needed, to act as field logistician / driver for assessment / relief teams.
  • Any other work directed by the Senior Logistics Officer related to MERCY Malaysia.

Requirements :

  • Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, any field.
  • At least 2 years of working experience in the related field is required for this position.
  • Preferably Senior Executives specialising in Clerical/Administrative Support or equivalent.

Communications Officer, Kuala Lumpur

Responsibilities

  • To be responsible for the implementation and to assist the team with the coordination of communications activities in MERCY Malaysia.
  • To be responsible for writing draft documents on various communication materials, print and electronics for internal and external audiences upon the advice of the Senior Officer.
  • To assist with writing speeches, media releases, articles and other important communiqué as well as keeping external communication documents updated upon the advice of the Senior Officer.
  • To assist with basic design work for all communication materials.
  • To assist with website and social media (Facebook, Twitter and YouTube) updates.
  • To support the Communications and Strategic Engagement team on road shows and exhibitions and other related activities in promoting MERCY Malaysia.
  • To keep the Head of Communications and Strategic Engagement fully briefed on all activities being undertaken.

Requirements :

  • Candidate must possess at least a Diploma in Mass Communications, Public Relations, Journalism, Marketing Communication or equivalent.
  • Fresh graduates are encouraged to apply.
  • Must have a strong flair in writing and able to communicate ideas well.
  • Full-time position(s) available.
  • Able to perform multi-tasking jobs.
  • Able to work effectively as a team and may be required to work flexible hours.

Skills needed :

  • Adobe Photoshop
  • Adobe Illustrator
  • Basic web designing
  • Basic photography & video editing skills
  • Strong writing skills in both English & Bahasa Malaysia
